Administrative Assistant / Bookkeeper
We are looking for a detail-oriented, experienced Executive Assistant / Bookkeeper to join our construction team. In this role, you'll oversee day-to-day accounting operations, payroll, job costing, and construction-related financial documentation, playing a key part in keeping our projects and office running smoothly.
Key Responsibilities
- Answer phone calls.
- Report directly with the owner.
- Manage Health & Safety jobsite requirements.
- Manage all day-to-day accounting and bookkeeping functions
- Process accounts payable and receivable
- Prepare customer invoices, progress billings, and payment follow-ups
- Perform bank reconciliations and maintain accurate financial records
- Process payroll and maintain employee pay records
- Prepare Union Remittances, ROEs, WSIB remittances, and HST filings
- Track project, labour, and job costs, and prepare job costing reports
- Maintain subcontractor and supplier payment records
- Prepare statutory declarations and related project documentation
- Maintain accuracy and organization within QuickBooks Pro.
Qualifications:
- Diploma or degree in Accounting, Finance, or Business Administration
- 2–5 years of accounting experience
- Experience in construction contracting.
- Working knowledge of payroll, WSIB, HST, and job costing
- Proficiency with QuickBooks, Excel, and other accounting software
- Excellent organizational and communication skills
- Ability to manage multiple priorities and deadlines
