Job Title: HR Generalist

Department: Human Resources

Wage Category: Annual Salary with Benefits

Report to: Human Resources Director

Location: Milner Ave, Scarborough, ON M1S 4G7

Salary: $50,000 – $60,000 per year

 

Position Summary

We are seeking a proactive and detail-oriented HR Generalist to support the day-to-day Human Resources functions with a strong focus on recruitment, HR operations, policy administration, compliance, HRIS management, and time & attendance administration. The ideal candidate has at least 2-3 years of HR experience, preferably with a background in a recruitment agency, and is fluent in Mandarin and English to support a bilingual workforce.

 

Key Responsibilities

Recruitment & Talent Acquisition

  • Manage the full-cycle recruitment process, including job postings, candidate sourcing, screening, interviewing, reference checks, and offer preparation.
  • Coordinate interviews with hiring managers and ensure a positive candidate experience.
  • Develop and maintain candidate pipelines for current and future hiring needs.
  • Partner with hiring managers to understand staffing requirements and recruitment strategies.
  • Maintain recruitment records and prepare hiring reports.

HR Operations

  • Coordinate employee onboarding and offboarding processes.
  • Prepare employment contracts, HR letters, and employment-related documentation.
  • Maintain accurate employee personnel files and HR records.
  • Respond to employee inquiries regarding HR policies and procedures.
  • Support employee engagement initiatives and HR programs.

HR Policies & Compliance

  • Assist in the implementation and administration of HR policies and procedures.
  • Ensure compliance with employment legislation, company policies, and workplace regulations.
  • Support workplace investigations and documentation as required.
  • Maintain confidentiality of employee information and HR records.

HRIS & HR Administration

  • Maintain and update employee information in the Human Resources Information System (HRIS).
  • Ensure data accuracy and generate HR reports as needed.
  • Support HR system implementation, upgrades, and process improvements.
  • Assist with HR metrics and reporting.

Time & Attendance Administration

  • Administer the company's time and attendance system.
  • Review employee attendance records, timecards, and leave requests.
  • Coordinate attendance reporting and support payroll preparation.
  • Assist managers with attendance-related issues and documentation.

Other Duties

  • Support various HR projects and continuous improvement initiatives.
  • Assist with employee training coordination and HR communications.
  • Perform other HR and administrative duties as assigned by management.

 

Qualifications

  • Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Minimum 2-3 years of Human Resources experience.
  • Previous experience with a recruitment or staffing agency is strongly preferred.
  • Experience managing full-cycle recruitment and HR administration.
  • Experience with HRIS and time & attendance systems.
  • Working knowledge of Ontario employment legislation and HR compliance.
  • Excellent organizational, communication, and interpersonal skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Fluent in Mandarin and English (spoken and written) is required.

 

Preferred Qualifications

  • CHRP designation or working toward certification is an asset.
  • Experience in a manufacturing environment is an asset.
